Snippets of W.A.B. Committee Meeting - 26 February 2006

In Attendance

  • G0AKH, G4IAR, G4IAQ, G0NLX, G0BFJ, G7GJU, G8XTJ, G4JZF

Apologies

Minutes of Previous Meeting
The previous Committee meeting minutes were read, discussed and corrected where necessary.
Main points were:

  • The whereabouts of the Minute Book which G4IAR thought had been missing for some time following a previous meeting.
  • G0NLX does have a CD ROM which contains some of the old minutes.
  • Suggested change to Contest Rules to read "contestants can work any 4 continuous hours within the contest times".

Matters Arising

  • Merchandising: Purchase of new merchandise for sale was discussed and approved, these include four table cloths to cover tables at Rallies, AGM etc. This has been dealt with.
  • New Trophies: Samples of replacement trophies were shown to meeting by G4IAR and G4IAQ and approved. It was decided that trophies would be presented at the AGM, the recipient photographed with the trophy and then the trophy returned to be held centrally. The winner would receive a keepsake. This has been dealt with.
  • The loss of the Lochinvar Trophy (LF Phone), The new Norman Marshall Bowl (Shown by G7GJU) and various other awards were discussed.

A.G.M.

  • Awards: Agreed that the following would be made:-
    • Net Controller's - G0REP
    • Founder's Trophy - G2BOF
    • Bound Skerries - G0SGB
  • Agenda Order: This was discussed and agreed, the announcement of the group's inheritance to follow the one minute silence for Silent Keys.
  • A pre-A.G.M. committee meeting would be held immediately preceding the A.G.M.
  • The Secretary G0NLX informed the meeting that unfortunately she would be unable to attend the A.G.M. Arrangements were made to record the minutes, this task to be undertaken by Kevin G0AKH.

President's Report

  • The wording of this for the newsletter was discussed and after due consideration, amended as thought necessary.

Secretary's Report

  • Included that she had informed the appropriate authorities regarding the passing of G1NTW.
  • Licence holders had been changed, Kevin G0AKH was now the nominated holder of G7WAB.
  • That she had responded to Ivan G3GKC about his concerns.
  • She also informed the committee of Nominations she had received for posts on the committee, Brian G0BFJ President and one for general committee.
  • She concluded by mentioning the changes that had occurred to the procedures of dealing with business generally handled at committee meetings following the inception of the reflector and email. Since this was not being recorded in any minutes she suggested that it should be the responsibility of the instigator to collate the same.

Publicity Officer's Report

  • Contained references to W.A.B. Contests being publicised on GB2RS.
  • His publishing of "London Calling" in the Amateur Radio Press.
  • Informing the radio fraternity of G1NTW's passing on GB2RS.
  • That an obituary for Norman ought to be prepared.
  • That Kevin had taken over responsibility for the W.A.B. Web site , congratulating him on his efforts, which was then endorsed by the full committee.
  • Kevin G0AKH was then appointed to be Internet Co-ordinator for the Group.

Contest Manager's Report
Included reference to:

  • That all contest entries sent to Peter G4EJP had been collated and processed, that the Newsletter and website had to be updated to now show Brian G0BFJ as contest manager.
  • He expressed the view that group trophies should only be awarded where such an award was merited.
  • He stated that a replacement trophy was required for the missing Lochinvar Trophy.
  • That Gordon G4SKQ, a previous contest manager, did not hold any of the group's trophies and that he was in very poor health at this time.
  • That in order to get maximum publicity Committee members are needed to give talks to clubs.
  • It was also mentioned that SM3CER's Contest website provided a good opportunity for free publicity.
  • Brian G0BFJ also reported that he had received some requests for changes to contest rules, he was considering these.
  • As a result of the report it was suggested that QRO and QRP contests might be combined and run twice during the year.
  • John G8XTJ suggested it would be prudent to check the dates of RSGB & PW contests before setting dates of W.A.B. contests. He also felt that trophies should only be awarded in the major contests which were well supported.

Membership Secretary's Report
Graham G4JZF had little to report:

  • Book sales since and including A.G.M. = 88. 62 represented book numbers, 14 CD's and 12 Books.

Rallies Co-ordinator's Report

  • Geoff G7GJU reported an improved situation regarding rally attendance, G2BOF and G8XTJ were attending Kempton Park rally and thanked everyone who assisted for their efforts.

News Letter Editor's Report

  • Said that demand was on the increase, that efforts should be made to 'push' the newsletter at rallies and to this end copies would be available at Kempton Park.
  • He also reported that he had received a poor response from members to the suggestion that the publication should be available electronically.
  • It was agreed that the outer cover be changed to a colour that was easier to read print on.

Award Manager's Report

  • Judith G4IAQ informed the meeting that she had issued 96 Awards in the period.
  • New Awards now on web site thanks to Kevin G0AKH.
  • Safety Issues were discussed in relation to dangerous to activate areas, re-iterated need to state on all media used for collecting, that WAB accepts no responsibility for accident or loss.
  • She informed the meeting of Ivan G3GKC's achievement in attaining the Diamond Millennium Award. The trophy to be purchased would be sent to him after the AGM which he is unable to attend.

Internet Co-ordinator's Report
Kevin G0AKH delivered his report which included:

  • Reference to free internet hosting for website provided by Intermip via G6KMQ Chris Meadows, the web site having been transferred from Websamba because of problems.
  • John GW0JRF transferring the www.worked-all-britain.co.uk domain name to point at the new site.
  • The new site having to be rewritten in a language that new servers understood.
  • In recognition of the generosity of G6KMQ, Kevin G0AKH asked the meeting for authority to add the Intermip logo to each page - granted.
  • Added that the new package provided for comprehensive statistics regarding use to be produced.
  • Informed the meeting of the new forum which had been added to free up the Activity reflector from incidental traffic.

Boundary Changes Co-ordinator's Report

  • Kevin G0AKH had nothing to report.

Treasurer's Report
Dave G4IAR started his report by saying that because of the timing of the AGM the report covered only 11 months.

  • On expenditure he reported that the A.G.M. cost virtually nothing except the affiliation fee of £10, likely to be offset by the pay out dividend from NARSA.
  • Postage - up on last year due to poor attendance at the A.G.M. requiring awards to be posted.
  • Rally Bookings - No change, attending same rallies.
  • Rally Expenses - Purchase of embroidered tablecloths.
  • Fees - Licences, affiliation fees etc. showing as down on last year due to the shorter period covered by balance sheet. Renewal of G4WAB licence still outstanding, but due shortly.
  • Newsletter - Income in excess over expenditure by £120, this figure again is distorted by shorter year. Bill for latest issue had not yet been received, therefore this did not reflect in the figures.
  • Stationery - Down due to previous stock levels and the issue of fewer certificates.
  • Certificates & Trophies - No expenditure shown 2004/5 due to timing of the previous AGM, two lots accounted for on balance sheet 2003/4. This year's figure higher than average.
  • Donations - To be decided.
  • Pens & Mugs - New stock for rallies.
  • On Income he reported that QSL Cards were moving steadily.
  • Book Sales - had declined by, on average, £20 per month. Last year £100 per month, this year £80.
  • Awards - Disappointingly down by well over 50%. Band conditions partly to blame, but not wholly. Members inactivity when no mobile runs planned also contributory.
  • Donations - Sale of G1NTW's equipment (£1257) plus further £21 where members decided to pay for Christmas Party Certificates.
  • The money raised from the sale of G1NTW's equipment earmarked for use replacing trophies.
  • Floats - All floats in the group are accounted, there being no such thing as petty cash. Appearing as income this year means that the floats have been reduced in size and is balanced by whatever the sum is spent on (Postage mainly), and then shown on the expenditure side.
  • He also explained about maps, pens and badges.
  • He concluded his report by stating that had we not received income from the sale of G1NTW's equipment the surplus of income over expenditure would have been only £160 instead of the £1438 shown. Not withstanding this, the accounts looked healthy.
  • The Treasurer's report was accepted by the meeting.
  • Donations, if any, had to pass out of the account this week. G4IAR suggested a figure of £150 to both RAIBC and St Dunstans, this was accepted.
  • A discussion followed and the committee accepted the idea of a "Managed Fund" as the best place for the Capital Amount from the Inheritance from G1NTW's estate. This followed advice from a financial advisor who attended the last committee meeting.
  • The four signatories to the account were agreed as Dave G4IAR, Kevin G0AKH, Geoff G7GJU and Sue G0NLX.
  • John G8XTJ to arrange for details of the inheritance to be published in RADCOM.
  • The Official announcement to be made at the A.G.M. by the President.
  • Kevin G0AKH to update website prior to A.G.M., but not announce details.

A.O.B.

  • Graham G4JZF said that WAB has been registered to support Science Week.
  • GB4FUN - Out and about.
  • M3WAB - this was a personal call held by Norman G1NTW, and not a club call as had previously been thought.
  • Chris Gibbs (SWL Liaison) will be approached to write a short piece for the newsletter for the benefit of SWL's and Novices.
  • G4JZF Graham would like a review of the cost of printed items at a meeting when time permits.
  • Ivan G3GKC has indicated that he may be able to get items published more easily in RADCOM than had been the case heretofore.
  • The Editor of RADCOM would be at Keighley rally.
  • Kevin G0AKH was in possession of a videotape from OV sent to him by John G4YSS. He would arrange for this to be transcribed to DVD.

Date of Next Meeting

  • Immediately prior to the A.G.M.
